Each Area Team is responsible for recruiting a Departure Coordinator and Travel Representative who together will be responsible for planning and coordinating travel and logistics for the departure of the Area Team’s participants.
Training and resources will be provided to the Departure Coordinators and Travel Reps throughout the spring to ensure smooth departures for all.
Since all CORE/CBYX participants are through-ticketed, a new Departure Logistics Webinar is available and should be delivered to CORE/CBYX host families and participants by the Departure Coordinator between 1-2 weeks prior to the Area team’s departure date(s) and be focused on the airport logistics that are unique to each team. The Departure Logistics Webinar will focus on the fundamental logistics of departures. Please see Departure Webinar guidelines here for more information. Return international travel is viewable in Global Link and MyAFS (see below).
It is important to note that host participants may have different departure dates depending on their program. For example, our Sponsored Programs Host Participants have different departure dates from CORE AFS Host Participants – Sponsored programs students will receive separate communications about their departure travel from Sponsored Programs staff.

How to see Hosted Participant travel information in MyAFS and Global Link
You can see the travel information for your Host Students in MyAFS by going to the Team widget (see screenshot below)
Click on the host student and you will go their page (see screenshot below). If you click on "Travel Info" which is located under their Medical Card and ID Card you will access their travel information on Global Link.
There are also three reports in Global Link that are helpful for planning and coordinating departures, including one specifically for YES and FLEX Sponsored Programs students.
