Meetings
- Make meetings a routine: monthly, bi-monthly, etc.
- Keep to the pre-set schedule
- Meet in-person when possible
- Use Zoom to host video conference meetings – or have a hybrid meeting if not everyone can make it in-person
- Send out the agenda ahead of time (days or a week in advance)
- Have a moderator and a notetaker and share meeting notes with all
- Host an annual planning retreat
Newsletters
- Keep volunteers, host families, sending families, and schools up-to-date
- Include pictures, contact information, links
- Mailchimp is a free online newsletter service
Communication Coordinator
- Develop a Communications Coordinator position
- This position disseminates all electronic communications to the appropriate subgroups in various formats to best reach everyone
